RE: College of Letters and Science Overtime Compensation Policy for Classified Staff


I am pleased to notify you that effective July 1, 2003, College of Letters & Science supervisors will have delegated authority to approve up to 120 hours of overtime annually for their classified employees. Requests for overtime that exceed 120 hours must be approved by me prior to the employee working the additional hours. This new overtime limit is increased from the previous limit of 80 hours per fiscal year. Overtime or additional hours will be prorated for part-time employees.

Employees may be paid for approved overtime and/or they may take compensatory time. While it is important to hold overtime to a reasonable level for many reasons including employee stress, it is equally important to reimburse employees for all hours worked. The College will cover the cost of overtime for staff on general purpose revenue funds (101) up to the 120 hour limit.

A Classified Staff Overtime Approval Form is attached. It must be completed for all overtime hours or for hours worked in excess of a normal schedule and must be submitted with the payroll checksheet. Overtime or the hours worked in excess of a normal schedule will not be processed for payment until the appropriate paperwork is provided.

This policy applies to all non-salaried classified staff regardless of funding source.

NOTE: Overtime approvals and denials should be based solely on need, and all reasonable requests from qualified employees in the work unit should be given appropriate consideration to work overtime. If an employee is denied the ability to work overtime, the employee must be given clear reasons for the denial.
