VIII.7 Access to Campus Administrative Data Systems for L&S Staff The campus uses a number of different administrative data systems. Many administrative staff need access to these systems to do their jobs, and obtaining access can be confusing. In most cases, access to these systems requires separate authorization requests which must be processed through the L&S Dean’s Office. This section gathers, in one place, information about where staff need to go to obtain various authorizations. Although there are a number of groups working to streamline and improve authorization processes on campus, for the near future, hard copies of authorization forms should be routed to the appropriate offices in order to obtain most authorizations. Routing requests: Current systems requiring authorization include 3270 transactions on the DoIT mainframe, the student information system (ISIS), InfoAccess (UW Data Warehouse and WISDM Data Warehouse) as well as web-based applications including the following: degree audit and reporting system (DARS), position vacancy listing (PVL) system, student payroll system, and the shared financial system (WISDM). Requests for access to all of these systems require approval at the Dean's Office (that is, divisional level approval). Once users and supervisors (or departmental authorizers) have signed the forms, the forms should be sent to the designated contact in South Hall. Sending forms directly to DoIT or the individual data custodians may significantly delay your authorizations, since any forms which are missing divisional signatures will be returned to South Hall. Where to go: This document contains specific information about the various data systems, including links to authorization forms and to contacts for approval in L&S Administration. Keep in mind that these links change periodically. Please consult the L&S contacts listed in this document with any questions. A comprehensive list of the most frequently used systems (including detailed information about authorizations and links to access request forms), is available online, at www.cio.wisc.edu/itaccess. Other systems: Two other systems do not require users to initiate an authorization form: ● Access to the Classified Human Resource Information System (CHRIS) does not require an authorization form or Dean’s Office approval. For more information, please refer to the section on CHRIS in the attached document. ● PayData authorizations for L&S users are coordinated centrally, by Lisa Oie-Kubicek . Please email Lisa directly to obtain PayData authorization, or with any questions about the PayData authorization process. Finally, an important Reminder: When employees leave your department, the divisional contact at the L&S Dean’s Office should be notified as soon as possible so access can be removed in a timely way.
