IV.12 VACATION POLICY

Vacation policy for faculty, academic staff, and limited employees is described in the UW-Madison Employee Benefits Booklet. Academic year (C-basis) appointees do not accrue vacation time; they are expected to work throughout the appointment period (including class recesses) except on designated paid holidays. Effective July 1, 1992, only those faculty and academic staff who participate in the Wisconsin Retirement System (WRS) are eligible to earn vacation. (Eligibility to participate in the WRS is based on expected employment of at least one year of at least 33% time employment). Eligible full-time annual (A-basis) appointees earn vacation at the rate of 176 hours (22 days) per year, plus designated paid holidays, calculated on a fiscal year basis. Annual appointees who take time off during academic recess periods must charge this to their earned vacation. Timing of vacations is to be arranged with the supervisor.

Although vacation is earned monthly, vacation for the current fiscal year may be used before it is earned with the supervisor's approval. Also, with the approval of the supervisor, faculty, academic staff, and limited employees may carry up to 176 hours of unused vacation over from one fiscal year to the next. No more than 176 hours of vacation may be used at one time without prior written approval of the Dean.

Project assistant appointments over 30 days in length also earn vacation at the full-time rate of 22.5 days per year, pro-rated for the particular appointment; project assistants must use vacation time during the appointment (within the fiscal year) and may not carry it over.

Effective July 1, 1993, unclassified staff members who have completed ten or more years of service under the WRS may, at their option, reserve up to 40 hours of vacation each fiscal year (pro-rated for part-time staff) in an Annual Leave Reserve Account.

Unclassified employees on annual (A-basis) appointments must report vacation time on the monthly leave report which is filed with the appropriate departmental office. Leave reports are to be signed and dated by each employee and also acknowledged by a departmental signature and date. The form for this purpose follows the section on Sick Leave Policy.

Classified employees (represented and non-represented) earn vacation based on length of service. (See UW-Madison Employee Benefits Booklet and/or relevant bargaining unit agreements.) A record of vacation earned, used, and unused is automated and is a part of the leave accounting system which is updated on each bi-weekly payroll. Scheduling of vacation is through the supervisor, is computed on the calendar year January 1 to December 31, and is noncumulative.
