II.22 DEPARTMENTAL SPACE ALLOCATIONS AND SCHEDULING OF GENERAL ASSIGNMENT CLASSROOMS Contact Assistant Dean Christopher Bruhn (3-0300) with any facility questions. Departmental Space Allocation Space allocations are made by the University Space and Remodeling Policies Committee (SRPC), which has established written guidelines for use of instructional and other types of space. The campus space policies and procedures are found at http://www.fpm.wisc.edu/smo/policies.htm; those regarding classrooms are available at http://www.fpm.wisc.edu/smo/ClassrmSchedPolicy.htm. Each year in the fall semester staff from the Office of Space Management (SMO) review with departmental representatives the way a department is using its assigned space through the use of a Space Inventory Report. Requests for space should be initiated on an S-1 form providing an explanation of the need. Requests should be routed first to South Hall (c/o Chris Bruhn) for initial review. Requests are then forwarded to the SMO as appropriate. Most changes in assignment are made during the summer for the following academic year, although needs will be considered at any time. Space on campus -- and definitely within L&S -- is very limited. It is important to provide as much lead time as possible when new hires, research projects, or journals are anticipated that cannot be fit into a department's existing allocation. One way to do this is to check the space information on the transmittal form with the grant application. Another is to contact Assistant Dean Chris Bruhn. Both are advised. State guidelines provide for space assignment (but do not guarantee space is available) only for employees on the University payroll. College policy is to allow departments to provide space for unfunded emeritus staff, honorary fellows, visiting faculty, lounges, libraries, etc., only if the department can accommodate the assignment within its existing space allocation. Such assignments should necessarily be made on an ad hoc, temporary basis, and be reviewed annually to be sure the space is not needed for active payrolled employees. General Assignment Classroom Space All requests involving general assignment classroom space are made by a department in its Timetable calls, and are handled by the Timetable and Classroom Scheduling Office (TACS), 2-6345. Please note that the policy for classroom assignments considers that certain academic requirements, curricular content and/or methodologies that rely on certain types of classrooms, classroom equipment, or other special considerations are appropriate as special facility requests and will be given priority: "Courses that require specialized equipment (i.e., equipment ordinarily not available in most classrooms which is needed for a substantial portion of a course's curriculum) and which follow the scheduling practices . . . will receive a higher priority than geographical location preference in the room assignment process." Requests for all other types of space are sent to the Dean's Office. Other Space Needs Moving. Departments will occasionally need to move staff and students for a variety of reasons: to vacate space being renovated, to occupy new space, etc. Both L&S Administration and SMO provide guidance and assistance at such times. Consult the SMO web page (www.fpm.wisc.edu/smo/move.htm) for information on departmental responsibilities, and call Assistant Dean Chris Bruhn for questions specific to your situation. Leased Space. Occasionally, it will be necessary for the University to lease space in order to accommodate a new or expanded project. The State must approve these arrangements and there is typically a 6-month lead time required. Consult the SMO web page (www.fpm.wisc.edu/smo/lease.htm) or call Assistant Dean Chris Bruhn. UW Warehouse. Departments needing general or climate-controlled storage space may be able to rent space if available. Requests are made by departments and need to be endorsed by the Dean's Office. Space Management will review the request and make an assignment as space allows. Assignments are reviewed annually.
