Re:       2004-05 Parking Application Process

On Friday, April 30, Transportation Services (TS) will send an email parking renewal notice to all faculty and staff who currently have a parking assignment or are on a waiting list(s) for an assignment.  A follow-up letter will be sent around May 10 to those who did not reply to the April 30 renewal notice.    The application period is from April 30 to May 28.

PLEASE NOTE

Parking availability in 2004-05 will be significantly diminished.  Transportation Services has estimated a temporary loss of over 1,500 stalls for assignment.  Given this loss of parking stalls, it is quite likely that some faculty/staff who have held an assignment in a particular lot for a year or more will lose it for 2004-05.  If alternate transportation is an option for you, please consider flex parking, carpool, vanpool, Park and Ride and other options as described at the Transportation Services website at  http://www2.fpm.wisc.edu/trans/ .

Instructions for current permit holders

In the email from Transportation Services, you will have two id/password options to apply:

 

1)      via your current UW parking i.d. number (as shown on your UW photo i.d.), which will be provided in the email from TS.  If you have forgotten your parking password, on their website you can request to have it sent to you via email.

2)      via your MyUW net id and password.  Transportation Services is encouraging all parking applicants to use the MyUW net id to apply for parking in 2004-05.  (The MyUW net id will be required in 2005-06.)  Advantages of using the MyUW net id are that it links parking information with other personal MyUW data, and applicants set the password.  This makes it unnecessary to request a password reset from me when locked out of the system.

Instructions for new applicants

You will not receive an email or hardcopy letter from Transportation Services.  Please follow these steps.

Pushpin bullet You must have an active UW payroll appointment.  Contact your dept administrator with any questions about this step.

Pushpin bullet You will need to get in touch with me (bruhn@ls.admin.wisc.edu) or my assistant Leah (osterhaus@ls.admin.wisc.edu) to be entered in the Parking Application System.  (Email is preferred as we can reply directly to you and retain a written record of the notification.)    Please include the following information in your email message:

  1. Your UW photo id number, or your social security number if you don’t yet have a photo id.
  2. Your payroll title and department.
  3. Date of birth

We will then create a parking system logon id number and password for you and notify you of this information via email.  This gets you into the Parking Application System (PAS) and ready to apply for parking. Please see the sections that follow on how to apply once you have received a password. 

After these steps are complete, I strongly encourage new parking applicants to obtain a MyUW id.  It’s a quick and easy way to establish a web page that provides many UW Madison resources in one location.   

How to Apply for a 2004-05 Parking Assignment:

The following TS internet screen view is where you will begin the process of applying for parking.  Once logged into the system, step-by-step instructions will be provided on how to update personal information, vehicle plates and 2004-05 lot choices.  As of the writing of this memo, Transportation Services has not yet set the specific web address for the starting page below.  (Please note that their system is compatible with PC’s and Internet Explorer 6.0.)

I would suggest updating personal and vehicle information as a first step.  (As you work through the application, it is your responsibility to review the information on file for accuracy.)  You may go back into the application to check on your information and/or make changes in lot choices and the like anytime prior to May 28.

Information on file for you is presented as follows:

Pushpin bullet Personal Info - this includes your parking mailing and email address preferences.  If the info looks correct and represents your mailing preferences, you can move on by clicking “save”.  If not, click on the appropriate choice.  If your office or home mailing addresses are incorrect, you cannot change them on this page.  Contact your departmental payroll coordinator to have the appropriate changes made as soon as possible.  You can move through the rest of the application at this time and come back later to check on the address changes.

Pushpin bullet Vehicle Info - This information appears next.  You should see the vehicle(s) TS has on file for you at this time.  It is important that all vehicles you might bring to campus be included on this page.  If there are errors or omission, please “delete” old plates as needed and/or “click here to add plate” as needed.  When you are done, click on “save”. 

Pushpin bullet Permit Type Information - On this screen, you will have the option of making base lot, business alternate, disabled, flex, carpool and Park and Ride assignment choices.  You may make up to four lot choices.  Base lot prices have increased to $425, $675 and $1015.  Business alternate permits will cost $75 and faculty/staff are limited to one such permit.

Important Note: If you are not successful in obtaining any of your four lots of choice, you will not be offered parking in any lot for 2004-05.  You will be placed on the waiting lists for those lots and another assignment process will occur beginning August 6 and again August 20 that might result in an assignment for you.

PLEASE NOTE

Make your lot choices carefully. I would suggest choosing a variety of lots by price and location. That is, your first and second lot choices might be those lots you most prefer for price and proximity, followed by third and fourth choice lots that include ramps or larger surface lots in outlying areas of campus (Lots 17, 46,622,60,91 for example). Click on "save" at the bottom of the screen to continue with your application.

Business alternates, disabled, flex and carpools - If you chose any of these permit options, you will be prompted to complete a form on-line.

Application Summary/Review - when you are done entering your on-line parking application for 2004-05, it is advisable to quickly check it over for accuracy.  You may go back to make any changes as needed until May 28.  No confirming email will be sent by TS to indicate you have successfully submitted your application.  The application summary screen will show your “pending applications” until May 28 and you may click on the vehicle, personal information tabs to check that information.

Important Dates:

Logon IDs will be emailed to customers.  Use the Parking Application System to apply for 2004-05 parking.  New applicants contact their Unit Parking Coordinator via email to obtain a parking logon id and password.

Deadline for all applicants to apply for parking online; includes annual baselot, Park & Ride, business alternates, carpools and UW disabled permits.

Parking assignments emailed to customers.  Use the Parking Application System online to claim and select payment method for your parking assignment.

Pushpin bullet August 11

Last day to claim parking assignments.  Unclaimed assignments will be offered to customers on waitlists on August 6th, so don't wait!  Claim your assignment before this date!

New permits must be displayed on vehicles parked on campus. 1 hangtag permit available to each permit holder.  A front windshield hangtag holder is available from Transportation Services, as is a single sticker if you bring only one car to campus.

POLICY CHANGES FOR 2004-2005

Pushpin bullet Rate Structure - Annual base lot rate categories increase to $425, $675, $1015.

Lots 4, 18, 19, 59 and 62 were moved from the $425 to the $675 level.

Lot 95 moved to the $1015 level.

Motorcycle permits increased from $50 to $60

Transportation Services studied alternative fee structures that could be scaled by ability to pay.  The study concluded the current rate structure provides more choices for employees and better supports campus priorities.  

Pushpin bullet New Permit System Requirements – Customers may see changes in the way they access the permit application process through the web.

Pushpin bullet Permit Design - Customers will receive only one (1) annual permit (rear-view mirror portable hangtag). Three different display options are available:

Motorcycles and convertibles will have the option for a “Shield” so hangtag can be locked to vehicle.

Pushpin bullet Business Alternate Permits  - will cost $75 - limit of 1.

Pushpin bullet Waitlists – Customers with a parking assignment may be on one lot waiting list only. Customers with no parking assignment can choose four lot waitlists. The goal is to reduce the volume of waitlist for customers with no parking assignment, and the length of time they wait.

Pushpin bullet Flex Program -

Additional FLEX lots will be added in 2004-2005: lots 39, 41, 64, 82, 83, 95.

400 additional FLEX assignments will be added in 2004-2005.

FLEX parking rates will continue to be charged “hourly” at the same rates as 2003-2004.

Pushpin bullet Park and Ride – a new location is being added on the east side of town.  Details are pending from Transportation Services, but it is likely that it will be a free parking option. 

Pushpin bullet MyUW Net ID and Password – available for use in applying for 2004-05 parking.
